CLEARTRAIL TECHNOLOGY

When the details matter, capture them clearly.

Loss Lens helps hospitality teams capture the information, observations, identities, photographs, and evidence that may matter after an incident, while the details are still fresh.

Built around the realities of restaurants, bars, hotels, and entertainment venues.

WHY CLEARTRAIL EXISTS

Incident reports were never designed for the moment they are actually needed.

After more than three decades in hospitality operations, ClearTrail’s founder repeatedly faced the same problem: trying to turn incomplete handwritten incident reports into the detailed information required later by insurers, claims professionals, owners, and attorneys.

  • Names became nicknames.
  • Details were missed.
  • Witnesses were difficult to identify.
  • Photos were never taken.
  • Timelines became unclear.

The employees were not the problem. They had been asked to document stressful events using tools that were never designed for dark, loud, fast-moving hospitality environments.

“There has to be a better way.”

LOSS LENS

Built for the moment, not the paperwork afterward.

Loss Lens is a mobile-first incident reporting application designed around how hospitality teams actually work. It guides employees through the information relevant to the incident, helping them capture a stronger record without forcing them to remember every question that may become important days, weeks, or months later.

DESIGNED FOR REAL INCIDENTS

The questions change because the incident changes.

A slip-and-fall does not need the same record as an altercation. Loss Lens is designed to capture relevant information based on what happened rather than forcing every employee through the same generic form.

SLIP / FALL

  • Surface material
  • Lighting
  • Footwear, if observed
  • Visible conditions
  • Injury or pain reported
  • Medical response
  • Camera availability

ALTERCATION

  • Physical intervention
  • Security response
  • Police involvement
  • Witnesses
  • Statements
  • Available evidence

OTHER INCIDENT

  • Flexible guided capture for medical, property, security, complaint, or other events

These examples are not exhaustive.

BUILT AROUND BETTER RECORDS

Capture what happened. Not what someone thinks happened.

Loss Lens is designed to help employees separate what they personally observed from what another person reported.

The goal is not diagnosis. Not blame. Not a legal conclusion. The goal is a clearer record.

I personally observed…
I did not personally witness…
Unknown
Describe appearance only. Do not diagnose.

Keep the evidence connected to the incident.

Important records are often scattered across phones, notebooks, camera systems, emails, and employee memories. Loss Lens is designed to identify and preserve the evidence that may matter later while the incident is still fresh.

  • Photos and video
  • Witness and employee statements
  • Camera location and preservation windows
  • Police or EMS report information
  • Incident observations
  • Acknowledgments and signatures

The objective is continuity of information, not simply completion of a form.

PROTECT THE RECORD

Sensitive incident information deserves more than an email attachment.

Incident reports can contain names, contact information, statements, signatures, photographs, and other sensitive information. Loss Lens is being designed around protected storage and controlled delivery rather than routinely placing sensitive report contents into ordinary email.

  • Protected storage
  • Controlled access
  • Deliberate, authenticated delivery
  • Auditable access and download events

Security capabilities shown may vary by deployment and production configuration.

One incident. Many people may eventually depend on the record.

Each person may see the incident at a different point in time, but they all depend on the quality of the information captured at the beginning. Loss Lens starts there.

Designed from inside hospitality.

Restaurants, bars, hotels, and entertainment venues operate differently from an office environment.

Incidents happen during service. Employees are managing guests. Lighting may be poor. The environment may be loud. The people involved may leave quickly. And the details that seem obvious in the moment become difficult to reconstruct later.

Loss Lens is designed around that reality.

CLEARTRAIL TECHNOLOGY

We are custodians of the record.

ClearTrail Technology exists to help organizations capture, preserve, and protect critical information when it matters most, creating a clear, reliable record so better decisions can be made with confidence.

We believe technology should make important information easier to capture, safer to preserve, and more useful to the people who ultimately depend on it.

Our role is not to determine fault, assign blame, or influence an outcome. Our role is to help preserve the clearest possible record of what occurred.

Founded by David Dean, following more than three decades in hospitality operations.

We are not the judge.
We are not the jury.
We are custodians of the record.

Capture the details while they are still details.
